We are a growing construction company focused on small to large remodels and new-build projects. We’re looking for a highly organized, proactive Construction Office Manager who can manage both office operations. This role is critical — you will be the central point of connecting ownership, subcontractors, inspectors, and office staff.
This position requires some construction knowledge, and strict follow-through.
Key Responsibilities
Project: Job Management
• Answer office phone and schedule new bid requests with Owner and Forman.
• Request, review, and organize quotes from subcontractors.
• Prepare and track estimates, invoices, cost updates, and contracts to submit to ownership for approval.
• Order and track all materials.
• Coordinate and manage subcontractors (scheduling, follow-ups, availability) efficiently.
• Keep accurate records of project timelines, milestones, and deadlines from smaller remodels to multi-million dollar jobs.
Permits: Compliance
• Manage construction permits from submission to final close-out.
• Coordinate with city/county building departments.
• Be fully on top of all active permits at all times.
Office: Staff Management
• Work closely with the bookkeeper to ensure all receipts, bills, and client invoices are entered and/or processed efficiently.
• Submit “bills to be paid” to the owner for approval.
• Oversee daily administrative workflow.
• Ensure all files, documents, and project records are organized and updated, both digital and hard copy.
• Maintain communication between office and field teams as needed.
Reporting: Communication
• Communicate daily with ownership for every client/project.
• Follow up consistently with subcontractors, inspectors, and vendors.
• Be flexible to work from the office or field.
Required: Experience
• 5+ plus years of proven construction-industry experience or in similar field and office management.
• Demonstrated expertise with Microsoft Office Suite (mostly Excel, Word, and Outlook), Dropbox, and QuickBooks.
• Knowledge of new construction workflows.
• Experience working with sub-contractors.
• Ability to handle multiple projects simultaneously.
• Strong communication skills (written & verbal).
• Ability to stay calm, organized, and proactive under pressure.
